When Hubdoc makes sense
Hubdoc shines for clients with recurring bills from large, portal-connected suppliers. If a client pays the same utility company, telecom provider, or software subscription every month, Hubdoc can log in and fetch those documents automatically without manual upload.
It's tightly integrated with Xero and QuickBooks Online, which makes it a natural fit if your clients already use one of those platforms. When it works, it reduces the document collection step almost entirely for covered suppliers.
The constraint is coverage: Hubdoc only works with suppliers that have web portals it can connect to. One-off vendors, trades contractors, international suppliers, and any business without a supported portal fall outside what Hubdoc handles.
